Duties administration office.

1- Supervision of the units.

2- Raise the weekly reports from the units to the deputy dean.

3- Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

Secretarial duties:

1- Write letters and documentation of incoming and outgoing from the director of the administration.

2- Keep origins letters received and copies of the records released in save place.

3- Follow-up incoming and outgoing mail from JU authorization.

4- Files work as needed and save the contents properly.

5- Carry out any other tasks assigned by the Director of Administration.

 Duties of administrators  affairs unit:

1- Maintaining administrator’s files and updating its contents and feeding updates regularly.

2- Summit administrators time attendance daily.

3- The organization and distribution of work among the employees, and follow it continually.

4- Organize regular holidays between employees within the limits of the system, and in a form which does not prejudice the work in faculty.

5- Summit emergency leave requests to the university administration after the approval of the authorization.

6- Summit the letters addressed to medical check form requesting employees after the approval of the authorization.

7- Prepare the functionality reports for female employees at the end of the academic year.

 Duties of the Procurement Unit:

1- Follow-up to provide educational supplies for all academic departments and administrative in coordination with the management of General Warehouses.

2- secure  the needs of classrooms and accessories (Seats - Projectors - Internet ...)

3- Summit the weekly reports for situation of educational needs for supplies.

4- Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

Duties of Warehouse Unit:

1- An inventory of the contents of the warehouse at the beginning of the academic year.

2- The receipt and supervision of all contained into warehouses.

3- Supervision and secure the needs of educational and administrative sections from the warehouse and distribution.

4- Summit the weekly reports educational needs for supplies from the warehouse.

5- - Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

 Duties of  Nutrition Unit:

1- Supervision of the foods quality in the cafeteria.

2- Follow-up food prices and suitability for female students.

3- Supervise the cleanliness of the cafeteria and women workers at it.

4- Summit the weekly reports for all of the above.

5- Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

Duties of Security Unit:

1- Ensure the ID of female students upon entering the faculty.

2- Ensure the types of Mobile phones with female students.

3- Recording the names of visitors to the faculty in the record of visits after confirmation of their identities, the point of the visit and the cause, and submitted to the authority concerned.

4- Control of discipline, order and tranquility during working hours and within the corridors of the college yard.

5- Confirm the identity of the driver in the case of one of female students’ necessity to leave during working hours and after the approval of authorization.

 6-Make sure the ratification of the concerned authorities on the model, then the introduction of portable devices for educational purposes.

7- Submit the weekly reports on the progress of work and the distribution of security tasks , absence of security staff.

8- Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

 Duties of the Services and Maintenance Unit:

1- Setting the agenda for the constant maintenance of the facilities on a weekday.

2- Filling out forms for maintenance to competent authority per week, and per day in case of emergency.

3- The direct supervision arrange the necessary  services for the operation of the educational process and inform the competent authorities for implementation of maintenance work required to classroom, and general service locations within the premises of the faculty.

4- Distribution of workers, summit absences per day.

5- Summit the weekly reports on the progress of the work.

6- Preparing the annual report and submit it at the end of the academic year to the Deputy dean.

Duties of  Inventory Unit:

1- Inventory at the beginning of the year to identify needs checking, and report it to the competent authority.

2- The receipt of budget for disbursement and follow up the payment of the covenant with management, according to the rationale of finical system.

3- The receipt of all items for the building refer them to a specialist for examination.

4- The collection of annual reports at the end of the year from subordinate units, arranged and reviewed, and submitted to the authority concerned.
